DISTINGUISHING FEATURES OF THE CLASS: The Administrative Assistant is responsible for the performance of routine clerical and account keeping tasks involving the application of standardized account keeping practiced in maintaining and reviewing legal financial accounts and records for the Sheriffs Office. The incumbent is responsible for entering and retrieving information using computer/spreadsheet software. The incumbent works under the general supervision on standard assignments in accordance with defined procedures; detailed instructions are provided for new or unusual assignments. Some typical work activities may include processing incarcerate individuals medical/pharmaceutical invoices; entering payments in the Jail medical access file; answer incoming phone calls and forward to the appropriate personnel; process pistol permit applications; receive and process return process for services; sort incoming and outgoing mail; prepare invoices and collect payments for meals prepared by the Jail kitchen; filing, copying and ordering supplies; complete bank deposits as required; process payroll; provide notary services for all divisions; and any other tasks as required.

MINIMUM QUALIFICATIONS: A.Graduation from a regionally accredited or New York State registered college or university or one accredited by the New York State Board of Regents to grant degrees with an Associates degree in Human Services, Criminal Justice, Secretarial Science, Business Administration, Accounting or a closely related field AND two (2) years of moderately complex clerical work which shall have involved the use of a computer; OR B.Graduation from high school or possession of a high school equivalency diploma and four (4) years of moderately complex clerical work which shall have involved the use of a computer; OR C.An equivalent combination of experience and training within the limits of (A) and (B).
